WAFI 2026 Saudi Delegation

Chinese regulations require the conference organisers to report every foreign guest in advance. This form collects exactly what that report needs — nothing else. It takes about five minutes; have your passport to hand.

Filing deadline

The organisers must receive all foreign-guest details by 13 August 2026.

This is a filing, not an application

The reporting deadline falls months before delegation travel is finalised. So we're filing details now for everyone under consideration — otherwise the paperwork window would close before anyone had decided anything.

In short: completing this form means that if you join the delegation, the paperwork won't be what stops you.

How your information is handled, and who sees it

What we collect

  • Full legal name, sex and date of birth, as printed on your passport
  • Nationality, passport number and passport expiry date
  • An image of your passport photo page, so the authorities can verify your typed details against the document itself
  • Organisation and job title
  • Mobile number and email, for delegation coordination
  • A portrait photo and a short professional bio, for your badge and the delegation programme
  • Your IP address, browser and the time you submitted — kept as the record of your consent

The passport page shows more than the fields above — issue date, issuing authority, place of birth and your signature. We ask for it because the filing requires the document image, not because we use those extra details for anything. It is encrypted at rest, never displayed by default, and every single time someone opens it that access is logged.

Why

Chinese authorities require every member of an incoming foreign delegation to be reported in advance (报备), including passport and biographical details. The organisers of WAFI 2026 have set 13 August 2026 as their deadline for receiving that information.

Who sees it

CIV Middle East and the WAFI Middle East Office, our China-based ground operator, and the WAFI 2026 organising committee and relevant Chinese host authorities — solely for your guest registration and delegation participation. Nothing here is used for marketing, and nothing is sold or shared with anyone else.

Cross-border transfer

Because the programme takes place in China, your information — including your passport details — will be transferred outside Saudi Arabia. We transfer only what the filing requires.

How it's protected

Your passport number, your portrait and your passport page image are all encrypted at rest. The administration page shows passport numbers masked by default, and every reveal, passport-page view, export and deletion is recorded in an access log.

How long we keep it

For the programme plus a short period afterwards for post-trip reporting, then deleted — or sooner if you ask.

Your rights

You can ask to see, correct or delete your information, and you can withdraw consent, at any time. Quote the reference number you'll get after submitting. If you withdraw before the trip we'll remove you from the filing — which means we can't complete your guest registration, so joining the delegation would no longer be possible. That's the only consequence.
